PolicyStream can send new leads, clients and case stages to the other tools you use, such as your CRM or email marketing tool, so you never type a client in twice. You can also connect an AI assistant that works in PolicyStream for you.
Everything lives in Settings → Integrations. Pick how you want to connect and only that section opens:
- Zapier: no code. Connects to Mailchimp, GoHighLevel, Zoho, HubSpot and thousands of other apps.
- Webhooks: your CRM or email tool gives you a webhook address and PolicyStream sends events to it.
- API: for developers building their own tools.
- AI assistants: ChatGPT, Claude and other apps that support MCP.
Only contact details, the case stage and plan, policy details once placed, and the person's marketing consent are sent to other tools. Application answers, health details, notes and documents are never sent.
The events
| Event | When it fires |
|---|---|
| New lead: quotes emailed | Someone emails themselves quotes from your instant quote page |
| New lead: started an application | Someone clicks Apply on your instant quote page |
| Client saved | A client file is created or its contact details change |
| Quoted | You send a client a quote report |
| Quote opened | A client opens their quote report |
| Application sent | You send a client their application link |
| Applied | Your client submits their application |
| Sent to carrier | You submit the application to the carrier |
| Placed | The policy is approved (policy number, premium, placed date and term) |
| Closed | A case is lost, declined, postponed or not taken, or you close a lead |
There are no birthday or renewal events on purpose: your CRM can schedule those from the date of birth, placed date and term it receives.
Connect with Zapier
- Go to Settings → Integrations and choose Zapier.
- Click Create Zapier key and copy the key. It's only shown once.
- In Zapier, make a Zap, pick PolicyStream as the trigger app (use the open PolicyStream on Zapier link on the page) and paste the key when it asks you to connect.
- Pick an event, for example New lead: started an application, and send it to your CRM or email tool.
Zapier can also add or find a client in PolicyStream from another app.
Connect with a webhook
- In your CRM or email tool, create an inbound webhook and copy its address (it must start with https://).
- In Settings → Integrations, choose Webhooks, paste the address and tick the events you want.
- Open the webhook, pick an event and click Send test. The test uses one of your clients (a sample client if you have one) and is marked as a test.
PolicyStream sends each event within about 15 seconds and keeps retrying for about a day if your tool doesn't answer. Every request is signed so your developer can check it really came from PolicyStream.
Marketing consent
Every event says whether the person agreed to marketing emails: yes, no or not recorded. Emails about their quote or application are fine either way. Send newsletters and promotions only to yes.
If your email tool sends its own "finish your application" emails, switch off PolicyStream's reminder so clients don't get both: Settings → Email templates → Client updates → Reminder after 5 days.
Connect an AI assistant
An AI assistant acts as you. It sees the clients you can, looks up cases, runs live quotes and, if you allow it, saves clients and emails quotes, application links and reminders. It never answers a client's health or declaration questions (your client does that in their link), and every email shows you a preview before it's sent. For an application link, the preview includes the email your client gets. Ask the assistant to change the subject or message and it sends your edited version, for that client only (your template in Settings stays the same).
ChatGPT, Claude.ai and Claude desktop: copy the Server address from Settings → Integrations → AI assistants and add it to your AI app as a custom connector. The app sends you to PolicyStream to sign in. Choose View only or View, save and send, then Allow. How to connect on the page has the steps for each app.
Apps that can't sign in (Claude Code, Cursor, scripts): create an assistant key, choose what it can do and how long it lasts, and add it to your app.
To stop an assistant, click Revoke or Disconnect next to it. It stops straight away.
Where client data goes: whatever the assistant reads (names, contact details, date of birth, sex, smoker status, address, quotes and case status) is sent to that AI company, usually outside Canada. Make sure your privacy notice and your clients' consent cover this, and only connect apps you trust.
Turning things off
- Revoking a Zapier key switches off the Zaps that use it.
- A webhook is switched off after 10 failed deliveries in a row. Fix the address, then click Turn on.
- Owners and admins can see the rest of the team's Zaps, webhooks, keys and assistants under Everyone else's… on each section.
